Operations manager

The Hanken School of Economics is seeking a qualified and experienced operations co-ordinator to ensure the administrative support at the HUMLOG Institute and the Subject of Supply Chain Management, overseeing the day-to-day operations of both Institute and subject. The position is full-time role of 36,15 hours per week with flexible hours and a minimum of 3 days per week at the office in Helsinki, Finland. The initial contract is for 3 years, with the possibility of an extension. 

Responsibilities:

• Oversee the implementation of the Institute’s and subject’s administrative and operational functions, including travel, events, IT, guests, information management, and communications (social media). 
• In co-operation with the university’s administrative unites, implement and or improve the current policies and procedures to ensure operational efficiency and effectiveness as well as compliance with legal and regulatory requirements. 
• Support the Institute’s and subject’s management team tasks within human resource’s function, including onboarding, and relations. 
• Develop and implement the Institute’s knowledge management and database management system. 
• Collaborate with the Director, the Head of Subject, and other members of the management team to implement strategic plans and initiatives. 
• Support the Director in the preparation for upcoming research proposals (externally funded projects) in collaboration with Hanken Research Services.
• Oversee the planning and execution of internal and external events for both the Institute and the subject.
• Develop and implement a social media and communications plan for both the Institute and the subject.
• Ensure the up-to-date information on internal and external communication channels about the Institute and the subject activities.
• Ensure the day-to-day continuity of activities in collaboration with the department amanuensis.

Eligibility Requirements:

• A master’s degree in business or international humanitarian work. 
• Experience operating international academic or research organization on the administrative or operations side. 
• Strong project management skills, with the ability to manage multiple projects simultaneously.
• Excellent communication and interpersonal skills. 
• Strong analytical and problem-solving skills, with the ability to identify and implement process improvements.
• Knowledge of information technology and facility management best practices.
• Fluent command in English, both written and spoken. Swedish, Finnish or United Nations languages considered as merit.

Preferred Qualifications:

• Experience in event coordination and event support in the academic sector.
• Experience coordinating international stakeholders.
• Experience in business development, including identifying new opportunities for growth and partnership development.
• Experience working with international organizations.
• Familiarity with Finnish culture and government administrative systems for visiting scholars, researchers, and fellows.
• In depth knowledge of the following technical systems and tools
  • CRM systems like Hubspot, Mailchimp, or others. 
  • Microsoft Office Suite
  • Adobe Creative Suite
  • Intranets and the development there-of
  • Database Management tools

The salary for the operations manager is based on the university salary system in Finland; the exact salary level depends upon the recruited individual’s qualifications and performance. The monthly salary will be between 3.700 – 4.000 euros. The trial period will be 6 months.
