Job description

As the Executive Assistant to the CEO, your primary responsibility is to provide high-level administrative support to the CEO and the executive management team. This includes managing the CEO’s schedule, coordinating meetings, and facilitating smooth communication within the organization. You will prepare meeting agendas, take minutes, and follow up on tasks to support strategic goals.
You will also handle documents, presentations, and reports, often involving data analysis for executive reviews. Your role will involve handling confidential information with discretion and maintaining a high level of professionalism.

Key responsibilities include

* Managing and prioritizing the CEO’s calendar, coordinating internal and external meetings, and optimizing the CEO’s time.
* Supporting the IONCOR Board members as well as scheduling the Board meetings and setting up other meetings with the Board members.
* Organizing and preparing materials for meetings, including drafting agendas, compiling data, creating presentations, and taking accurate minutes.
* Assisting with strategic planning processes by coordinating cross-departmental efforts and maintaining task timelines.
* Overseeing travel arrangements, including booking flights, accommodations, and preparing detailed itineraries for the CEO and other senior executives.
* Performing diversified office duties, such as handling correspondence, managing databases, and overseeing information flow and filing systems.
* Acting as a liaison between the CEO, senior management, and other stakeholders, ensuring smooth and efficient communication.
* Managing special projects and conducting research as required by the CEO.

Your workplace will be based in Vantaa, and you will report directly to the CEO.  

We expect you to have

* Bachelor’s degree or equivalent experience preferred
* Minimum of 5-7 years of experience as an Executive Assistant
* Exceptional organizational and time management skills; ability to prioritize and manage multiple tasks simultaneously
* Strong communication skills in Finnish and English languages, both written and verbal
* High level of professionalism and discretion; experience handling sensitive information
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools
* Capability to work independently in cross-functional and multi-location teams
* Readiness to travel
